Administrative Program Coordinator II

As an Administrative Program Coordinator, you will support the development and maintenance of a compliant research program by conducting quality assurance reviews, maintaining compliance documentation, and preparing reports for IRB submissions and renewals. You will collaborate with research teams to ensure alignment with regulatory standards, assist with study monitoring and audits and help address educational needs identified through QA and compliance activities. A caregiver in this role works days from 8:00 a.m. - 5:00 p.m.

A caregiver who excels in this role will:

  • Collaborate with research staff to conduct quality assurance activities across the research portfolio, track findings and report outcomes.

  • Maintain Quality Assurance and Compliance documentation, including REDCap databases and logs.

  • Assist with IRB submissions and reporting, including continuing renewals, retrospective submissions, Adverse Events, Unanticipated Problems and Device Events.

  • Support the preparation of quarterly and annual research compliance reports.

  • Assist with alignment and preparation for study monitoring and audit activities.

  • Serve as an educational resource, addressing knowledge gaps and promoting a compliant research program.

  • Lead orientation, record management activities and ensure standards are maintained. 

  • Develop and update interdepartmental education programs. 

  • Assist with the scheduling, coordination, preparation and communication of meetings. 

  • Facilitate and attend meetings and record key outcomes. 

  • Identify key milestones and deadlines. 

  • Communicate project status and requirements to achieve results. 

  • Research, analyze and organize information for presentations. 

  • Assist with the planning, coordination and tracking of various student events throughout the year.

  • Assist department leadership with large or complex projects.  

Minimum qualifications for the ideal future caregiver include:  

  • Associates Degree and three years of administrative or project management experience OR Bachelors Degree and one year of experience OR High School Diploma/GED and five years of experience 

  • Strong organizational and customer service skills

  • Strong computer skills and experience with software applications (Word, PP, excel, Teams)

Preferred qualifications for the ideal future caregiver include:  

  • Experience developing programs (healthcare, financial or education)

  • Healthcare experience or related organization

  • Research experience

Physical Requirements:

  • Ability to perform work in a stationary position for extended periods

  • Ability to operate a computer and other office equipment

  • Ability to travel throughout the hospital system

  • Ability to communicate and exchange accurate information

  • In some locations, ability to move to 25 pounds
