Job Description:

Role Summary/Purpose:

Reporting to the SVP, General Manager - OnePay/Walmart, the Executive Administrative Assistant provides executive administrative and logistical support to Synchronys OnePay/Walmart General Manager and commercial team, platform senior leaders, and the Chicago hub leadership team.

Essential Responsibilities:

  • Proactively support the OnePay/Walmart General Manager and other assigned senior leaders by independently handling all assigned duties, taking direction from and balancing needs of staff members.

  • Serve as Chicago hub Administrative Assistant. Provide administrative support, in-person event/logistical coordination, and manage facilities and supply needs for the Chicago hub.

  • Ensure senior leaders schedule progress smoothly, commitments and deadlines are met and all meetings, reviews and conferences are organized effectively.

  • Maintain and coordinate calendars, schedule appointments and meetings, arrange travel schedules and itineraries.

  • Schedule, plan and organize logistical details for in-person, virtual and/or off-site meetings.

  • Work closely with senior leaders/ executives and handle a wide range of sensitive and confidential information.

  • Assist hiring managers in onboarding activities for new employees.

  • Process and reconcile Travel & Living expense accounts.

  • Order and track office supplies for the Chicago hub .

  • Develop PowerPoint presentations, type letters, memos, charts, reports, proposals, contracts, agreements or other types of correspondence and maintain records of all documents as needed.

  • Proofread copy for spelling, grammar and layout, making appropriate changes.

  • Provide general office administrative services including telephone coverage, mail and fax processing and distribution, file set up and maintenance, photocopying, etc.

  • Perform other duties and/or special projects as assigned.

Qualifications/Requirements:

  • High School Diploma/GED and 7+ years post-secondary working experience.

  • Minimum 5 years of administrative assistant experience.

  • Minimum 3 years supporting senior leaders/executives in an administrative capacity.

  • Minimum 3 years of experience working with Microsoft Office (MS Word, Outlook, PowerPoint, Excel, One Note, etc.)

  • Excellent communication skills, written and oral, as well as listening, and organizational skills.

  • Demonstrated professional maturity and experience handling sensitive and/or confidential information.

  • Demonstrated ability to work in a fast paced environment, handle multiple tasks simultaneously and meet deadlines.

  • Willingness to work in-person from Synchronys downtown Chicago hub approximately 3 times per week (more/less based on business need).

  • Willingness to travel to other Synchrony hubs for in-person event coordination as needed.

Desired Characteristics:

  • Minimum 2 years administrative assistant experience in a matrixed corporate environment.

  • Experience working with or supporting Commercial/Sales teams.

  • Knowledge of current technology and productivity tools.

Eligibility Requirements:

  • You must be 18 years or older

  • You must have a high school diploma or equivalent

  • You must be willing to take a drug test, submit to a background investigation and submit fingerprints as part of the onboarding process

  • You must be able to satisfy the requirements of Section 19 of the Federal Deposit Insurance Act.

  • New hires (Level 4-7) must have 9 months of continuous service with the company before they are eligible to post on other roles. Once this new hire time in position requirement is met, the associate will have a minimum 6 months time in position before they can post for future non-exempt roles. Employees, level 8 or greater, must have at least 18 months time in position before they can post. All internal employees must consistently meet performance expectations and have approval from your manager to post (or the approval of your manager and HR if you dont meet the time in position or performance expectations).
