REPORTS TO: Executive Director of Advancement Operations and Analytics LOCATION: 1025 Administrative Building, Appleton, WI PRIMARYOBJECTIVE: The Assistant Director of Advancement Operations plays a key role in advancing Lawrence Universitys mission and fundraising efforts. This position combines strategic thinking and operational execution to support data-driven decision-making. Working closely with the Executive Director of Advancement Operations and Analytics, the Assistant Director contributes to projects that leverage information resources to enhance the Advancement divisions work. As a member of the Advancement Operations team, the Assistant Director supports administrative functions such as gift processing, constituent record management, and reporting, ensuring accuracy and efficiency in all tasks. DUTIES:
- Respond to data requests from Advancement staff or other university offices, utilizing database and information processing tools to provide accurate donor and constituent data. Primary tools used: Banner (database), Argos (reports), Microsoft Office (including Excel, Word, Outlook, Teams, and PowerPoint), and internet tools.
- Support fundraising goals through collaboration on strategies and target audiences for a multi-channel approach (direct mail, email, phone, social media, peer outreach).
- Manage daily gift receipt/acknowledgment process, ensuring timely and accurate processing and communication with donors.
- Distribute weekly fundraising progress reports to Advancement and Finance teams.
- Maintain the integrity of Advancement data through audits and regular updates of constituent records.
- Create and maintain documentation for business procedures and data tools, under the direction of Advancement Operations management.
- Lead the duplicate ID resolution process, proactively resolving duplicate records and preventing their creation.
- Serve as backup for gift processing and records specialists, ensuring proficiency in all aspects of gift processing and data entry.
- Provide exceptional customer service to both internal and external stakeholders.
- Manage additional information-related projects as assigned.
- Bachelors degree or equivalent work experience in data processing or data management.
- Appreciation for fundraising within the context of a private liberal arts college environment.
- Strong problem-solving skills with the ability to manage a dynamic workload and prioritize tasks to meet deadlines and support team goals.
- Attention to detail and ability to follow detailed procedures for processing, ensuring accuracy and confidentiality.
- Proactive communicator who identifies missing information and takes initiative to resolve issues, ensuring smooth workflows.
- Cooperative and team-oriented with the ability to work independently, seeking clarification when needed.
- Sound judgment and discretion in handling confidential materials and information.
- Ability to manage multiple priorities while remaining flexible in a dynamic environment.
- Strong computer skills (including internet navigation and research, email usage, and word processing).Experience with Banner or similar database systems and reporting tools is a plus.
- Proficiency in Microsoft Office, with a solid understanding of Excel.
- Strong organizational, communication, and customer service skills.
