Coordinator of Therapy Services
The Childrens Home is seeking a Full-Time Coordinator of Therapy Services. This position is a member of the Care Coordination Team and will assist in the coordination and organization of all day to day functions in the therapy department and early intervention therapy program.

Essential Functions:
1. Coordinates the maintenance of the medical record for all patients within the therapy program.
2. Ensures that all new patient information is obtained and processed with appropriate admitting paperwork for admission of patient, including assigning the patients medical record number and processing initial insurance verification.
3. Obtains scripts for Early Intervention and scripts/authorization for outpatient therapy services.
4. Obtain daily referrals for Early Intervention and send referrals to therapists by daily deadline.
5. Connect the new referrals to the IFSP/Therapist and email referral information/transition paperwork.
6. Ensures that all patient charts are assembled in an appropriate manner.
7. Coordinates all releases of medical records for therapy patients.
8. Schedules appointments for all therapy sessions (Childs Way, EI, Outpatient).
9. Collaborates with Director of Therapy Services to create the daily inpatient therapist schedule.
10. Ensures all program-specific patient demographics and insurance information are obtained prior to appointment and accurately entered into the electronic medical record system in a timely manner.
11. Oversees the preparation and coordination of all appointment scheduling correspondence, including generating form letters and emails, and providing program-specific information when needed for therapists.
12. Maintain patient records ensuring all required information is obtained and entered and/or scanned into the patients chart.
13. Assists Director of Therapy Services with maintenance of Early Intervention PA Registry.
14. Follow-up on any outstanding insurance issues for outpatient care and other services to ensure accurate invoicing and communicate closely with RN Case Manager/Utilization Review and Accounts Receivable Associate.
15. Contact Accounts Receivable Associate when EI kids are ready for coding.
16. Mail/email notes to accurate EI agency weekly.
17. Maintain spreadsheets for EI and therapy services.
18. Responsible for creating, maintaining, and retrieving patient records, obtaining information required for authorizations, retrieving information needed for reviews and appeals, and other department projects.
19. Coordinates administrative and clerical functions as needed under the direction of the Manager of Care Coordination/RN Admissions Case Manager.
20. Provides support for front desk reception duties.
Requirements:1. High school diploma or equivalent required.
2. Completion of medical secretary/admissions/registration program, or other related program, or 2-4 years of experience in a medical field.
3. General knowledge of computer software and electronic medical records.
4. General knowledge of Microsoft Excel.
5. Works independently and efficiently, possessing a high attention to detail and maintaining the volume of scheduling clients.
6. Strong organization, time management, and interpersonal skills.
7. Interpersonal and communication skills necessary to effectively communicate with patients, staff and other personnel.
8. Knowledge of third-party health care coverage, insurance regulations and authorizations preferred.
9. Ability to consistently maintain confidentiality with regards to all client information.
Functional Requirements:
1. Partially active and partially sedentary position must be able to access the patients and families, and also must be able to sit or stand for long periods of time.
2. Must be able to push, pull, and occasionally lift, or carry up to 10-50lbs as required to access file boxes, supplies, etc.
3. Ability to interact and communicate in a professional and courteous manner with other staff and guests in-person, via email or phone, or virtual conference.
4. Manual dexterity necessary to operate a computer and telephone systems, and other typical office equipment.
