The Job We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our Chief Marketing Officer (CMO) and Chief Revenue Officer (CRO). The ideal candidate will possess excellent communication skills, a high level of professionalism, and the ability to manage multiple priorities in a fast-paced environment. The pay range for this role is $105,000 - $110,000. What Youll Do Strategic Support:
  • Act as a strategic partner to the CMO and SVP, understanding their goals and assisting in their achievement.
  • Prepare high-level presentations, reports, and other documents for executive meetings and board presentations.
Calendar Management:
  • Manage and prioritize the executives calendars, scheduling meetings, appointments, and travel arrangements.
  • Ensure time is allocated effectively for strategic tasks and priorities.
Email and Communication:
  • Monitor and respond to emails on behalf of the executives.
  • Draft and proofread correspondence, reports, and presentations.
  • Facilitate effective communication between the executives and internal/external stakeholders and their departments.
Travel Arrangements:
  • Arrange domestic and international travel logistics, including flights, accommodations, transportation, and itineraries.
  • Prepare comprehensive travel itineraries, ensuring seamless travel experiences.
Meeting Coordination:
  • Coordinate executive meetings, prepare agendas, and ensure all necessary materials and resources are in place.
  • Attend and record meeting minutes when required, ensuring follow-up on action items.
Project Management:
  • Assist in the planning and execution of marketing and partnership initiatives and projects.
  • Track project timelines and deliverables, ensuring deadlines are met.
  • Collaborate with internal teams and external partners to facilitate project completion.
Document Management:
  • Organize and maintain digital and physical files, ensuring easy access to critical documents and information.
  • Ensure all documents are up-to-date and compliant with company policies.
Expense Management:
  • Process expense reports and invoices, ensuring accuracy and compliance with company policies.
  • Monitor and manage the executives and extended teams budgets and financial transactions.
Confidentiality:
  • Maintain the highest level of confidentiality regarding sensitive information and documents.
Project Support:
  • Assist with special projects and initiatives as assigned by the executive team.
  • Provide research and analysis support for strategic decision-making.
Relationship Building:
  • Develop and maintain strong relationships with internal and external stakeholders on behalf of the executives.
  • Represent the executives professionally in all interactions.
Team Collaboration:
  • Work closely with other administrative team members to ensure cohesive support across the organization.
  • Be a team player, actively participating in team meetings, sharing knowledge, and supporting colleagues as needed.
What Youll Bring
  • Bachelors degree preferred.
  • Proven experience as an Executive Administrative Assistant or similar role, preferably in a technology firm.
  • Exceptional organizational and multitasking abilities.
  • Strong attention to detail and problem-solving skills.
  • Proficiency in Microsoft Office Suite and calendar management tools.
  • Excellent verbal and written communication skills.
  • High level of professionalism and confidentiality.
  • Ability to work independently and adapt to changing priorities.
  • Strong interpersonal skills and the ability to work effectively with a diverse team.
