Executive Assistant to the Associate Vice Chancellor of Research

High School diploma or equivalency and three years of progressively responsible administrative/office management experience; or graduation with an associates degree in Secretarial Science, Business Administration, or a related discipline and one year of progressively responsible administrative/office management experience; or bachelors degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience..All degrees must be received from appropriately accredited institutions.
Preferred Years Experience, Skills, Training, Education Graduation from a four-year college or university and one year of related experience in Higher Education; or an equivalent combination of education and experience from which comparable knowledge, skills and abilities have been attained.- Considerable knowledge of modern office procedures, practices, and equipment
- Ability to work with diverse customers internal and external to DORED
- Ability to work independently and see projects through to successful completion
- Basic accounting experience
- Familiarity with processing personnel actions
- Ability to exercise judgment and discretion in performing assignments
- Report to and provide administrative support to assist Associate Vice Chancellor for Research. Tasks to include managing calendars, reviewing documents, emails, scheduling meetings, etc.
- Time management skills to help assess and manage Associate Vice Chacellors demands using zoom, outlook calandering and other programs as needed
- Other duties as assigned by AVC
- Supports the Division of Research by providing backup for responding to and logging calls when current staff are not available.
- Assists the Associate VC for Research with scheduling meetings, travel, visitors, etc.; sending meeting reminders, and with clerical work.
- Answers questions and meeting requests directed to the Associate Vice Chancellor.
- Provide support in the areas of communication, logistics, preparation of materials and follow-up for meetings, training seminars and workshops.
- Collaborates with other administrative staff in the preparation of needed materials for meetings and reports, review of policies, and transmits requirements with time-frames to both leadership and staff.
- Represents the Associate Vice Chancellor of Research by welcoming visitors, reviewing correspondence; appropriate delegation or handling of calls or contacts.
