Human Resources Assistant
Job Title: Human Resources Assistant Reports To: Human Resource Manager

Position Description:
The HR Assistant provides essential support to the HR Manager and department, with a primary focus on administrative functions within the department. This role will assist with recruiting, benefits administration, payroll, onboarding and offboarding, reporting, and maintaining employee records. Additionally, the HR Assistant will handle various internal and external communications and perform daily clerical and administrative tasks. This individual will have access to confidential employee records. The HR Assistant role is an entry-level support position. Pay for this role is 15.00-19.23/hour. Essential Functions
1. Onboarding and Offboarding
- Conduct orientations for all new employees.
- Complete E-Verify and I-9 documentation within 3 days of hire.
- Track and verify HIPAA Security Awareness Certifications within 1 week of hire.
- Create and organize employee folders in the system with all required documents.
- Collect pictures and 3-5 fun facts for new hire announcements.
- Send welcome letters and orientation invites at least 1 week before start dates.
- Prepare documentation and processes for offboarding employees.
- Transfer active employee folders to inactive folders upon termination.
2. Recruitment and Talent Management
- Post internal and external job openings.
- Source, screen, and schedule candidates for open positions.
- Conduct reference checks, and order background checks and drug screens for new hires.
- Manage recruitment correspondence and ensure timely follow-up.
- Notify Help Desk and managers once background check/drug screen results are received to initiate equipment orders.
- Schedule new hire check-ins (1-week, 60-day, and 90-day milestones) and track IEP completions.
- Send reminders to managers for performance reviews and ensure copies are stored in employee files.
3. Compliance and Documentation
- Maintain accurate and updated Labor Law Posters, notifying impacted employees of any changes.
- Keep HR OneNote and payroll systems updated with current information.
- Ensure compliance with benefits enrollment deadlines and send reminders 60 days before.
- Assist with Open Enrollment processes, including reports and employee communication.
4. Employee Engagement and Communication
- Schedule and coordinate monthly birthday and anniversary calls.
- Send reminders and announce winners for Cheers for Peers nominations, including gift card distribution.
- Gather and submit content for the company newsletter quarterly.
- Promote a positive organizational culture by facilitating communications, meetings, and announcements.
5. Reporting and General HR Administration
- Generate quarterly PTO reports for managers and departments.
- Assist with data gathering for HR reports as needed.
- Update home pages and onboarding documents in payroll systems.
- Track and monitor completion of performance management reviews.
- Maintain confidentiality of all employees and organizational information.
- Remain organized, tech-savvy, and adaptable to assist with various HR tasks.
Education:
Bachelors degree in human resources or business management a plus.
Qualifications:
- Strong understanding of HR procedures.
- Strong organizational skills.
- Excellent verbal and written communication skills.
- Must be trustworthy and able to handle confidential information responsibly.
- Ability to work well with a professional team, accept feedback and constructive criticism, work well under pressure, and provide self-motivation necessary to accomplish job responsibilities.
- Data analysis, critical thinking, problem solving. Thinks several steps ahead in deciding on best course of action, anticipating likely outcomes.
- Strong tech skills required, including expert in but not limited to Word, Excel, Outlook.
- Adapts content, style, tone and medium of communication to suit the target audiences language and level of understanding.
- Takes others perspectives into account when communicating, negotiating or presenting arguments.
- Presents written oral and written communications with confidence and clarity.
- Ability to manage competing priorities as needed.
Work Environment:
This position is a remote position that performs work from the assigned home location. The job requires dedicated and uninterrupted time identical to the conditions of working in an office environment. Occasionally the remote position located in the state of Maryland may report to the corporate office to attend meetings or team functions, depending on the geographical location to the corporate office. The content of information received and communicated contains confidential information. While performing the duties of this job, it is the responsibility of this position to make all efforts to secure the clients confidentiality and always protect client information. The remote worker must abide by the Remote Work Policy.
Physical Requirements:
- Be stationary for extended hours at a time, 7-8 hours of the workday.
- Perform repetitive tasks with few breaks throughout the day.
- Repetitive typing and communicating.
- Utilize desk phone/cell phone.
