The Receptionist/Administrative Assistant serves as the first point of contact for the Chancellors Office at Purdue University Northwest, providing professional and courteous assistance to visitors, students, faculty, and staff. This position is responsible for managing front desk operations, handling administrative duties, and supporting the Chief of Staff and members of the senior leadership team. Budgeted Pay Range: $18.00 - $20.00 Schedule: Monday - Friday; No weekends

Duties and Responsibilities of Administrative Assistant
  • Serve as the first point of contact for visitors and phone calls, providing professional and courteous assistance.
  • Address inquiries from staff, students, student workers at the reception desk, and outside agencies in an efficient, discreet, and professional manner.
  • Handle all incoming and outgoing mail and fax messages for the Office of the Chancellor.
  • Maintain strict confidentiality of all materials and information associated with duties.
  • Coordinate large mailings for various projects.
  • Order and maintain necessary office supplies and equipment.
  • Serve as the key operator for all office equipment.
  • Provide phone and office coverage when others are away.
  • Monitor and update calendars, including scheduling meetings and appointments.
  • Embrace Artificial Intelligence (AI) technologies and other emerging technologies to enhance duties and projects to improve efficiency.
  • Manage the scheduling and attendance of outside sponsored events and professional memberships for the University Leadership Team and other faculty and staff as necessary.
  • Assist with coordinating travel and lodging arrangements for the Chief of Staff and other members of the Senior Leadership Team.

Education of Administrative Assistant
  • High school diploma/GED
Experience of Administrative Assistant
  • Two years of experience in an administrative or receptionist role, preferably in an academic or professional setting.
Core Competencies of Administrative Assistant
  • Strong interpersonal and communication skills, both verbal and written.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office management software.
  • Excellent organizational and multitasking abilities.
  • Professional demeanor and ability to work effectively with diverse individuals.
  • Ability to exercise discretion and maintain confidentiality.
