Administrative Assistant (TEMP)

Job Summary

The Administrative Assistant is an energetic, self-starting individual. As part of our team, the Administrative Assistant will collaborate with multiple team members, leaders, and partners, participating wherever necessary to ensure smooth, efficient administration. Our ideal candidate has a wide range of applicable skills, from strong computer proficiency with office productivity suites to attention to detail with data entry tasks. In this role, the Administrative Assistant will juggle multiple projects simultaneously, necessitating time management, multitasking and organizational skills. The ideal candidate should have a thorough knowledge of our service offerings and prior administrative experience is a strong plus.

Duties and Responsibilities

  • Serves as the primary and initial point of contact for clients seeking services. At a minimum, duties include:
  • Answer CWD customer service phone, respond to text messages and emails.
  • Update internal standard operating procedures document as needed.
  • Participate in team meetings and follow up with team members regarding deliverables.
  • Sort and distribute mail, faxes and emails to appropriate CWD staff.
  • Maintain CWD event calendars on various platforms for all classes.
  • Order, store and organize all office supplies.
  • Manage incoming and outgoing letters and packages for Kentuckiana Builds students.
  • Perform general office administrative and clerical duties.
  • Maintain the system of record platforms for all programs by entering data accurately, and in a timely manner (Salesforce, KEE Suite, Career Edge, PDM, Airtable, etc).
  • Maintain logs and spreadsheets for all office activities and events.
  • Maintains necessary data on clients that track demographics, needs, and accomplishments for use in reporting to management, government agencies, and funding sources.
  • Prepare department brochures and flyers for distribution at community events.
  • Maintaining and monitoring the departmental “Calendar of Events” across various platforms regarding events and activities, mass mailings, and other programmatic Information and coordinating logistics for internal and external activities.
  • Generating and assisting in compiling reports, as needed, relative to client tracking service delivery and follow-up for the department.
  • Responsible for monitoring tasks assigned to USJP Participants, interns and volunteer program support personnel performing administrative support to CWD.
  • Letter composition and mailing of general correspondence, memos, reports and documentation.
  • File purging and proper archiving client files/records.

Knowledge, Skills and Abilities

To be successful the incumbent should, at a minimum, possess skills, knowledge or abilities in the following:

  • Excellent interpersonal and client service skills - experience in front office.
  • Excellent technical proficiency - intermediate-level experience in GSuite,
  • Microsoft Office and social media.
  • Strong communication skills; written/oral, and business writing skills.
  • Must be extremely detail-oriented.
  • Strong organizational and administrative skills.
  • Able to handle multiple tasks and to be a team player.
  • Must be dependable and punctual - willing to work as needed.
  • Self-starter - able to work well under pressure with minimum supervision.
  • Must be highly motivated, goal-oriented,
  • Valid drivers license and be willing to use own automobile for travel.

Education and/or Experience

  • Two years of clerical, administrative, or front-office support experience.
  • Experience in a nonprofit organization is a plus.
  • Associate Degree preferred

Work Environment

In this position, theworkweek is Monday through Friday with evenings and weekends. The incumbent should expect to spend time in a comfortable, indoor office environment. Much of the incumbents time will be spent at a computer using Google Suite Software, Zoom, and on the phone. Some local and statewide travel is common in order to meet with strategic partners and potential customers. As such, a valid drivers license, insurance, and reliable transportation is required. Reimbursable mileage, does not include commuting to and from work.

Job Type: Temporary

Pay: $20.00 - $22.50 per hour

Expected hours: 37.5 per week
