Administrative Coordinator

Job OverviewWe are seeking a highly organized and proactive Administrative Coordinator to join our team. In this role, you will be responsible for daily and ongoing scheduling, intake of new clients, handling authorizations, and supporting various administrative functions. The ideal candidate will possess strong communication skills, excellent customer service skills, a keen attention to detail, and the ability to multitask effectively in a fast-paced environment.

Responsibilities

  • Process intake for all new clients
  • Create ongoing schedules for clients and staff
  • Manage daily scheduling changes, including processing time-off requests by staff
  • Provide outstanding customer service by addressing inquiries and resolving issues promptly.
  • Maintain professional phone etiquette while handling incoming calls and messages.
  • Utilize Microsoft 365, and other practice management systems for all operations
  • Perform data entry tasks accurately and efficiently to maintain up-to-date records.
  • Assist with administrative duties such as filing, organizing documents, and preparing reports, etc.
  • Communicate effectively with both English-speaking and Spanish-speaking clients or colleagues as needed.
  • Demonstrate strong computer literacy to navigate various software applications and tools.
  • Manage time effectively to prioritize tasks and meet deadlines.

Requirements

  • Must be bilingual (English and Spanish)
  • Proven experience in office management or administrative roles is preferred.
  • Strong customer service skills with a focus on client satisfaction.
  • Excellent phone etiquette and communication skills.
  • Proficient with technology
  • Experience with data entry and maintaining accurate records
  • Strong computer literacy with the ability to learn new software quickly.
  • Ability to type efficiently and accurately.
  • Exceptional time management skills to handle multiple priorities effectively.

Pay: $19.00 - $21.00 per hour
