We are a leading commercial real estate firm in Tampa seeking a highly organized and detail-oriented Administrative Assistant to support our Director of Brokerage. This is a fantastic opportunity for a motivated individual to contribute to a dynamic team and gain valuable experience in the commercial real estate industry.
Responsibilities:
- Provide comprehensive administrative support to the Director of Brokerage, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Maintain and organize electronic and physical files.
- Manage incoming and outgoing communications, including phone calls, emails, and mail.
- Assist with the preparation of marketing materials and proposals.
- Coordinate and track deal closings, ensuring all necessary paperwork is completed and filed.
- Process expenses and maintain accurate records.
- Assist with special projects as needed.
- Act as a liaison between the Director of Brokerage and other departments, clients, and vendors.
Qualifications:
- Minium of 5 Proven years of experience as an Administrative Assistant, preferably in the real estate or related industry.
- Florida Notary Public certification or willingness to obtain.
- Knowledge and experience of working in various CRM software is preferred.
- Excellent communication, interpersonal, and organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Expertise in Microsoft Office Suite, Adobe Creative Suite (InDesign, Photoshop) and Canva for marketing and presentation purposes.
· Strong project management skills, including the ability to prioritize tasks and meet deadlines in a dynamic environment
· A Real Estate License or the willingness to obtain.
- Strong attention to detail and accuracy.
- Ability to prioritize tasks and manage time effectively in a fast-paced environment.
- Ability to work independently and as part of a team.
- Bachelors degree preferred
- Knowledge and experience of working in various CRM software is preferred.
- Familiarity with SEO, content marketing strategies, and analytics tools is a plus.

Pay: $45,880.00 - $65,000.00 per year
