Job Description: Administrative Assistant
REPORTS TO: Chief Operations Officer JOB PURPOSE: The Administrative Assistant performs a variety of clerical and administrative duties that are necessary to run an organization efficiently. The Administrative Assistant uses computer software to create spreadsheets; manage databases; and prepare presentations, reports, and documents.
ESSENTIAL JOB FUNCTIONS: • Works closely with the Chief Operations Officer to manage and maintain companywide bookkeeping • Works closely with the Chief Operations Officer to manage and maintain companywide filing system • Assist the Director of Human Resources with onboarding and offboarding and maintaining compliance of employee personnel files • Works closely with the accounting department to manage and maintain client collections • Manage office maintenance and order office supplies as needed • Assist the Chief Operations Officer and Executive Assistant with miscellaneous tasks as needed • Respond promptly to managers queries • Assists with answering incoming phone calls in a polite and professional manner and accurately taking messages
JOB REQUIREMENTS: • Time management and ability to meet deadlines • High school diploma or GED equivalent • Excellent verbal and written communication skills • Strong organizational skills and ability to multitask • Problem-solving and decision-making skills • Ability to act as gatekeeper and escalate relevant information to executives as needed • Skilled in the use of standard office equipment • Ability to work effectively with minimal supervision • Strong interpersonal skills • Ability to treat confidential information with appropriate discretion • Exceptional attention to detail
- Familiarity with Microsoft Office Suite • Must have a completed TB Test, CPR/First Aid Certification, COVID-19 Vaccination, and Health Screening
Job Type: Full-time
Pay: $28.00 - $32.00 per hour
Expected hours: 40 per week
