Bilingual Administrative Assistant

Responsibilities:

  • Provide executive-level administrative support to the Executive Director, including calendar management, meeting coordination, and handling incoming communications.
  • Support all office staff with clerical tasks such as filing, data entry, document preparation, and client follow-up.
  • Monitor voicemail systems daily and ensure all communication channels are functioning.
  • Maintain digital and physical documentation for grants, compliance reports, expenses, and program records.
  • Ensure HIPAA compliance in the management of all client and program documentation.
  • Keep a detailed and up-to-date inventory of office and program supplies; manage ordering and restocking as needed.
  • Organize and maintain the storage room and ensure tidy common areas, including the break room and bathroom.
  • Participate in weekly Friday office clean-up to maintain a professional and welcoming work environment.
  • Assist in the planning and coordination of organizational events and community outreach activities.
  • Open the office daily, including opening blinds and setting up common areas for daily use.
  • Perform other duties as assigned to support the mission and operations of the organization.

Qualifications:

  • Bilingual (Spanish/English) required.
  • Demonstrated experience in an administrative or executive assistant role, preferably in a nonprofit setting.
  • Strong organizational skills with attention to detail and the ability to multitask.
  • Proficiency in Microsoft Office, Google Workspace, and digital recordkeeping tools.
  • Excellent verbal and written communication skills.
  • Ability to handle sensitive information with integrity and confidentiality.
