Position Overview
The Executive Assistant is responsible for managing the Executive Directors administrative workflow, coordinating board and leadership meetings, handling correspondence, and supporting donor and event management. This role also serves as a key liaison between the Executive Director, senior management, and The Arcs regional and national networks.
The ideal candidate thrives in a fast-paced, entrepreneurial environment, exercises discretion with sensitive information, and ensures smooth operations through organization and proactive problem-solving.
Key Responsibilities
Administrative Support to Executive Director & Senior Leadership
- Manage Executive Directors appointments, calendar, and correspondence, including drafting letters, thank-you notes, and emails.
- Organize Executive Directors workflow, including document management (copies, scanning, filing, and word processing).
- Screen and direct calls and visitors to the Executive Directors office.
- Support staff recognition efforts, such as tracking anniversaries and achievements.
- Assist in meeting coordination, including scheduling, preparing agendas, taking minutes, and managing follow-ups.
- Collaborate with The Arcs state, regional, and national networks to maintain engagement and alignment with priorities.
Board & Governance Support
- Organize and support Board of Directors meetings, including scheduling, preparing board packets, recording minutes, and tracking action items.
- Maintain and update board rosters, directories, and key documents.
- Assist in onboarding new board members, including document completion, orientation, and committee assignments.
- Support board recruitment efforts, maintaining candidate lists and coordinating outreach.
- Track board attendance, resolutions, and policy ratifications, providing reports as needed.
- Maintain communication with board alumni and past presidents for continued engagement.
Event Planning & Special Projects
- Assist in planning organizational events, stewardship activities, and annual meetings.
- Support the Executive Director in strategic planning initiatives, compiling reports and coordinating workgroups.
- Handle special projects as assigned, ensuring successful execution from conception to completion.
What You Need to Succeed
Education & Experience
- High School Diploma or GED required; associate or bachelors degree preferred.
- 3+ years of experience in administrative support, executive assistance, or office management.
- Experience with board relations and governance is a plus.
Skills & Competencies
- Strong organizational and problem-solving skills - ability to multitask and manage competing priorities.
- Excellent written and verbal communication skills - professional and polished in all interactions.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and database management.
- Attention to detail with a high level of discretion in handling confidential information.
- Ability to work independently while maintaining strong collaboration with leadership and staff.
Work Environment & Requirements
- Routine office environment with occasional early evening or weekend meetings.
- Physical Requirements: Ability to sit for extended periods and lift up to 20 lbs. unassisted (40 lbs. with assistance).
- Valid Drivers License & Background Check Required.
