Office Assistant

JOB OVERVIEW:

The Office Assistant plays a vital role in ensuring the smooth daily operations of the office by providing administrative support, maintaining organization, and delivering excellent customer service. This position requires strong communication, organizational skills, and the ability to multitask in a fast-paced environment.

KEY RESPONSIBILITIES:

  • Greet guest and provide them with superb customer service
  • Delivering packages and mail to local post office and mail companies
  • Redirect phone calls to the appropriate department, take down messages and forward to the appropriate person(s)
  • Complete company general and various administrative tasks
  • Follow up to retrieve subcontractor certificates of insurance for compliance
  • Assist with maintaining office supplies
  • Review company vehicle maintenance monthly
  • Troubleshooting with company phone system, internet, company cell phones
  • Communicate with office & field employees on various assigned tasks
  • Answer company phone lines and emails from clients in a timely professional manner
  • Reporting progress and issues to the administrative coordinator in a timely manner
  • Maintaining an organized, neat and safe office area
  • Ability to multi-task and work in fast paced environment
  • Attend Trade Shows/Career Fairs and Setup Marketing Booths, if needed
  • Great customer service and professional communication with subcontractors to foster strong relationships

QUALIFICATIONS:

  • High School Diploma or GED required

SKILLS:

  • Strong mathematical, organizational and communication skills computer skills and attention to detail required
  • Must have proficient knowledge with Microsoft Word, Power Point, Excel, Adobe PDF
  • Candidate must be able to work independently
  • Must be able to multitask efficiently
  • Notary preferred but not required
  • Bilingual preferred but not required

Job Type: Part-time

Pay: $15.00 - $17.00 per hour

Schedule:

  • Monday to Friday

  • High school or equivalent (Required)
