This role will support the daily operations of Nordics office and create a welcoming and professional impression of the company for office visitors and contacts. Success in this role requires strong ability to: plan and organize, independently solve problems, effectively serve and collaborate with a variety of stakeholders, and the ability to recall information quickly to make informed decisions. Key Responsibilities The Office Operations Assistant will have the following key responsibilities, which include but are not limited to:
- Assisting facilities with general office maintenance, including scheduling and communicating with vendors & property management
- Providing administrative support to departmental leadership
- Leading Nordics front desk duties, such as: welcoming visitors, and directing phone calls
- Inventory management - Tracking, ordering, and stocking office inventory including snacks and beverages
- Coordinating office mail distribution, including both in-bound and out-bound mailings
- Serving as a resource in answering or direct questions from Nordic employees
- Coordinating and executing office events i.e. ordering lunches
- Working on projects that may be assigned on an ad hoc basis and may assist other corporate initiatives as necessary, directed, assigned, or requested
- Strong attention to detail and ability to adapt and manage multiple priorities while meeting deadlines.
- Must demonstrate and embody Nordics maxims.
- Excellent communication skills, written and verbal.
- Must be able to work independently as well as within a team environment.
- Proficient with Microsoft Office products and other collaboration tools, including virtual meetings and cloud technologies.
- Position is based in Nordics Madison, WI office.
- 8:00a-4:30p - Tuesday, Wednesday & Thursday
- Travel up to 5% of the time
