Payroll Specialist

Our client, a mission-driven nonprofit organization dedicated to making a positive impact in the community, is seeking an experienced Payroll Specialist to support their finance and HR operations. Key Responsibilities:

  • Manage end-to-end payroll functions, ensuring timely and accurate processing for staff, including full-time, part-time, and contract employees.
  • Handle salary, hourly wages, bonuses, stipends, deductions, tax withholding, garnishments, and other payroll adjustments.
  • Ensure payroll practices comply with local, state, and federal regulations, including IRS and Department of Labor guidelines.
  • Maintain payroll systems and records accurately, ensuring data integrity and troubleshooting discrepancies.
  • Process and submit payroll tax filings such as W-2s and 1099s, and handle related reporting requirements.
  • Coordinate payroll functions with benefit plans, including retirement contributions, healthcare deductions, and other related benefits.
  • Prepare payroll documentation as needed for internal and external audits and maintain organized payroll records.
  • Address employee inquiries regarding payroll, deductions, and tax forms in a timely and professional manner.
  • Generate payroll reports as requested to support organizational decision-making and budgeting processes.
Requirements
  • Associates degree in accounting, finance, or a related field. Bachelors degree is preferred but not required.
  • Minimum 2-3 years of payroll experience; nonprofit industry experience is highly desirable.
  • Proficiency with payroll software such as ADP, Paycom, Ceridian, or other systems commonly used in payroll processing.
  • Strong Microsoft Excel skills (e.g., pivot tables, V-lookups).
  • Strong attention to detail, accuracy, and confidentiality.
  • Knowledge of federal and state payroll laws and reporting requirements.
  • Excellent organizational and communication skills to work across multiple teams.
  • Familiarity with nonprofit compensation structures, grants, and restricted funding considerations is a plus.
