Job Summary:The Office Assistant within Greater Vision plays a vital role in supporting daily administrative operations. They report to the Healthcare Coordinator. This position ensures smooth and efficient operation of the corporate building and executive office, coordinating daily activities, managing projects.
The ideal candidate is self-motivated, professional, highly responsive, and able to handle sensitive information with discretion. This person will have an enthusiastic and unending positive attitude. This person must be self-motivated, self-directed, highly responsive, gracious, and thoughtful.
Employment Details:- Employment Status: Full-Time Hourly
- Pay Range: $17.00 per hour
- Schedule: Monday - Friday, 9:00 AM - 5:00 PM (Day Shift)

Screen and prioritize incoming communications (phone calls, emails, and mail) and ensure timely responses.
Work with HR and other departments to support the onboarding of new staff and coordinate orientation schedules.
Answer phone calls from customers and employees.
Establishes staffing patterns and schedules for nurses, therapists, and non-licensed care professionals.
Works with recruiting, clinical team, and operations to advise them of staffing needs and adjustments, and other information necessary for the smooth flow of work regarding nursing staff.
Submit weekly reports on staffing needs and identified gaps.
Participates in in-service training.
Assists in securing staff for absences, leaves, etc., adjusting schedules as required.
Communicates with parents, clients, and insurance companies to provide updates regarding agency staffing rates and general information with professionalism.
Support agency compliance with Electronic Visit Verification by confirming field staff clock in and out daily
Record and report missed visits
Use various software and websites to coordinate schedules
Field Staff timesheet review and approval
Assist in developing office policies and procedures
Prepare reports, letters, and other documentation as needed.

- Excellent communication and interpersonal skills.
- Ability to use basic office equipment efficiently.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and EMR software.
- Understanding of medical terminology and HIPAA compliance (preferred).
- Ability to work independently and handle confidential information with discretion.
- Required: High School Diploma or GED.
- Preferred: Associates degree.
- Experience: Prior experience in healthcare administration, home health, or office support preferred.
- Work directly with executive leadership.
- Play a key role in supporting organizational growth and efficiency.
