- Answer telephone calls and inquiry emails in accordance with policies and procedures of the organization.
- Provide information on all program services offered and relevant costs of the programs.
- Complete patient phone intakes, schedule appointments, email appointment confirmation, collect patient paperwork and insurance cards (if utilizing insurance) and perform chart audits to ensure Joint Commission compliance standards are met.
- Create patient files, upload confidential information to EHR, maintain data in EHR, set up patient portals.
- Maintain an outside provider database and send referral thank you notes to referring providers.
- Perform call log activities.
- Contribute to company reports.
- Address and resolve patient concerns with a professional attitude.
- Perform general clerical duties including photocopying, faxing, filing, etc.
- Assist with administrative tasks such as creating and saving documents, originating and managing files.
- Ensure forms are available and updated.
- Ensure that all office supplies such as ink, paper, filing materials, waters, coffee, etc. are well stocked.
- Ensure adherence to local, state, and federal regulations for Behavioral Health and The Joint Commission.
- HIPAA compliance is required.
- Conduct regular audits and recommend corrective actions to ensure regulatory compliance.
- Perform additional tasks as assigned by the Director of Operations.
- Preferably a Bachelors Degree with experience in Behavioral Health administrative duties.
- Prior experience in the Behavioral Health field is a plus.
- Knowledge of insurance processes and VOBs is a plus.
- Outstanding customer service and ability to show compassion/empathy for others.
- Ability to work in a team environment.
- Ability to remain calm and collective during stressful situations.
- Strong communication skills both verbally and written.
- Strong attention to detail.
- Proficient in Microsoft Office and Google Suite.
- Excellent communication, interpersonal, organizational, and problem-solving skills.
- Strong time-management skills and ability to prioritize tasks.
- Willingness to learn and flexibility with tasks.
- Ability to handle sensitive information with discretion.
- Professional demeanor and ability to manage various personalities.
- Part-time with onsite office hours, Monday-Thursday
- Office environment with standard equipment and patients.
- Physical demands include prolonged sitting, standing, and walking, as well as lifting up to 10 pounds.
